Why respond in writing at all
The PIP itself is a written record. Everything about the process going forward will be measured against what's in that document. If your only reply is spoken across a conference table, none of your questions, requests, or corrections will exist in the file. A written response fixes that instantly — for the price of an hour of careful drafting.
What to include
A good response letter contains four moves. First, acknowledge that you received the plan and appreciate the opportunity to reply in writing. This is not an admission — it's a receipt. Second, request specific, measurable success criteria if the plan lacks them. "Improve communication" is not a criterion. "Send weekly written status updates by Friday at 5pm" is.
Third, request scheduled check-ins — weekly is a reasonable default — and ask for a written summary of each. Fourth, if the plan contains factual errors about recent events, correct them calmly and specifically. "For the record, the deadline referenced on August 3rd was rescheduled by [name] to August 10th; I met the revised deadline" is the kind of correction that works.
What to leave out
No admissions of underperformance. No apologies for things you did not do. No legal threats. No mention of discrimination, retaliation, or protected activity in the letter itself — those are conversations for an attorney, not for a manager reply.
Never state or imply resignation. A phrase like "I understand this may lead to my departure" can, in some jurisdictions, complicate unemployment claims. Keep the letter about the plan itself.
Tone
Professional, calm, on the record. Not defensive. Not cheerful. Not desperate. Imagine the letter being read six months later by someone who was not in the meeting — it should hold up.
Delivery
Email your response to your manager and cc your HR business partner. Save a copy for yourself, outside company systems. Attach a PDF if you want the formatting preserved.
